Clixon has partnered with Staples to allow our clients the ability to Punch Out to their website to shop (you will see your live prices and the product availability), add products to a cart within Staples, and then submit the order to bring the products back into Clixon. After a quick review in Clixon, the products will be added to your Clixon Catalog, and to a Cart if you choose. From there the ordering process from creating orders to submitting is the same as you are accustomed to in Clixon.
Making the Connection
The first step in making the Punch Out connection is to notify Clixon and the Vendor that you would like to have your accounts connected via punch out between Clixon and the Vendor.
Once the Vendor finishes this process, they will notify Clixon and we will complete the connection/integration and notify you.
These connections typically mean the following for you:
- Punch out to the Vendor website with your office credentials to see 'Your' Live accurate Prices and product Availability
- E-Commerce or 'Online' Order Method which means when you Submit the Order in Clixon it is sent directly to the Vendors database just as if you had placed the order from their website.
The Punch Out or (3PPP) account setup is different than what you may have been used to when ordering from your Staples website account:
- Online Bill Pay will no longer be available.
- You can either put a 'ghost' (encrypted) Credit Card on file, to be charged after each order is places.
- Or you will have a Credit Limit established by Staples, and will be able to call in to make payments.
- You will not be able to look up past Invoices.
- Invoices will be emailed to a designated Email address after each Order is placed from Clixon.
- A version of each Invoice will be 'Attached' to each Staples order in Clixon as well.
How the Punch Out process works
With vendors such as Staples you can Punch Out by clicking on the Staples logo (vendor logo) found on the My Catalog or Cart page.
- This will allow you to Shop and see Live Pricing & Availability right from the Vendor website.
- The process is exactly the same as if you logged into their website to shop, you will see your Pricing for all products.
- You will shop as if you are on their site and simply Add products to the Cart on the Vendor (Staples) site.
- When you are ready to place your order you will go to the Vendor (Staples) Cart and click the Submit Order button.
- This will bring you to a Preview page back in Clixon where you will see a message telling you that "Your Order has not been Submitted yet!” - click the Proceed button.
- Now you will quickly Review the products you added while on the Vendor site.
- If you are happy with what you see, simply choose to either Add to Cart, Just Add to My Catalog, or Cancel.
- Unless you chose Cancel, the product(s) will be Added to your Catalog, if they did not already exist.
- Any new products will be Pending Approval if the Permissions of the User who added them require Approval for new Products.
- If you chose Add to Cart, all of the above will be true, and all products will be Added to the Cart you punched out from.
- Or a New Cart will be created if you were not pointing to one when you Punched Out from the My Catalog page.
- In the future you can search for and "Add" Staples products right from the My Catalog page, since we add them all to your Catalog(s) in Clixon
- But again, for accurate product Pricing and Availability you may want to Punch Out, especially if it has been awhile since you last ordered from Staples.
Finishing the Ordering Process
Once you choose Add to Cart, you will see that the ordering process from that point on works the same as you are accustomed to in Clixon.
- You can continue to add products to the cart or if you are ready you can choose to Create Orders or Request Approval, depending on your permissions.
- Once orders are created you will see that the Order Method should be set to 'Online' for punch out Vendors.
- Click the Submit Order button as usual to Send the Order directly to the Vendor's order processing site, this is the same as if you had submitted an order right from their Website.
