Returns

Creating a Return in Clixon achieves the following:
  1. You are able to create a historical record in Clixon of any products you have Returned to your Vendors.
  2. Returns are like Orders in that you Submit them (note: nothing is actually sent to the Vendor) and you Reconcile with the Credit memo / invoice you receive back from the Vendor.
  3. Once Reconciled, Returns can be Exported to Accounting applications just like Orders.
  4. For clients who utilize our Inventory Control features, once you Submit the Return, the On-Hand Qty. or levels will go down accordingly.
Returns in Clixon still require you to obtain the Return Label(s) from your Vendors and to physically Mail off the Package or have your Sales Reps. pick them up.

Creating a Return

From the left menu choose Returns then in the popup menu select Create
  • Now, in the top left of the page you will click the blue Create New button.
    • Then select the Vendor you are returning products to from the 'Choose Vendor' drop down menu.
    • Then click the blue Create Return button after choosing the Vendor.
  • From the Return page you have been directed to click the blue button that says Add Products to this Return
    • It takes you to a version of My Catalog, pre-filtered to show only products in your catalog from the Vendor you selected.
    • Search and/or Filter to locate the Product(s) you need to Return.
    • Enter or toggle the Qty. you need to Return and click the green Add button.
  • Go back to the Return when done by using the 'Previous' back arrow, or by choosing Returns from the left menu.
    • The Return will be in the (Not Submitted status)
    • You can give the Return a Name if you wish or add an RMA
    • Notice that you can also make Comments or add Attachments is needed.
If everything looks correct and you are done adding products:
  1. Look for the Return PDF icon and click this, it just allows you to Print the Return, if you would like, which can then be added to the Return package as a Return Slip for the Vendor.
To finish this portion of the process you will simply Click the green Submit Return button.
    1. This changes the Return status in Clixon from Not Submitted to the Reconcile/Close or Export status.
    2. It also Reduces Inventory On-Hand levels - (if you do not track Inventory, don't worry about this).
  1. As mentioned above you will need to obtain any Return Label(s) from the Vendor or their website and physically Return the products or Mail them to the Vendor.

Reconciling to Close or Export a Return

Once the Credit Invoice or memo arrives from the Vendor:
  • Go to Returns from the left menu and choose the Reconcile/Close or Export tab.
  • Open the Return and Reconcile the Return against the Credit Invoice.
    • Add the Credit Invoice # and Date.
    • Add any Tax or Shipping credit
  • Compare the Return to the Credit Invoice and if needed adjust the Returned or Price fields, if the Vendors Credit Invoice does not match what was on the Return you sent.
  • When done click the green Reconcile/Close or Export button.
The Return will either go to the Closed Returns page or the Export to Accounting page, depending on your company Settings.
