Categories & Sub-Categories
Categories & Sub-Categories should be assigned to every Product that exists in Clixon. These are essential product identifiers that are easy to create, assign, and utilize when searching or filtering your products for things like Ordering or when analyzing Reports within Clixon.
To locate the Categories & Sub-Categories list go to: Setup Information > Product Related > Categories & Sub-Categories
Categories & Sub-Categories
The Categories & Sub-Categories page lists every Category within the Corporate group or the Company, depending on where you are in the application. It also shows a list of the Defaults for each Category, more on that later.
Click on any Category from the list to open the Edit Category page which has 3 sections:
Name
- The Name of the Category is the top field and it is in green font.
- Remember to update the Category Name from the Corporate level, if you are part of a Corporate group.
Defaults
Also known as
"Allocation Defaults"- Allocation Defaults are used to help auto assign other important fields on Products when they are added to a Corporate or Company Catalog.
- These fields include:
- Ledger Account
- Cost Center
- Budget
- Issue Department
- Reporting Group
The Allocation Defaults for any Category can be set or changed here whenever the need arises.
Sub-Categories
Sub-Categories are the second level of categorization for products.
- This section on the Edit Category page lists all of the Sub-Categories associated with the Category selected.
- The Name of any Sub-Category can be changed or updated anytime.
- Also, a different Cost Center or Issue Department can be assigned to a Sub-Category, different than other Sub-Categories and from the Category Default.
Sub-Category - Creation
From the Categories "Sub-Category" section you can click the Create New button to add a new Sub-Category to the list.
- In the window that opens, add the Name of the Sub-Category you need to add.
- Assign the Cost Center and Issue Department if you desire.
- If you leave these fields blank, they will be populated with the Category Defaults if they are set on the Category.
- Click the Save button when done to finish.
Category - Creation
There are 2 ways to create a new Categories:
- Simply click the + Create New button found on the Categories & Sub-Categories page.
- Also, you can choose to click the Quick Create icon found in top menu bar + then choose Categories/Sub-Categories.
From the Create Category page:
- Enter the Name of the new Category you are adding.
- If you want, set the Category "Defaults" listed on the creation page:
- Budget, Ledger Account, Cost Center, Reporting Group, or Issue Department.
- Leaving these blank is fine, they will be populated with the Corporate or Company defaults.
Mass Update - Allocation Defaults
To set or change the Allocation Defaults for a "single" or "multiple" Categories:
- Start from the Categories & Sub-Categories page.
- To edit the Defaults for a single Category:
- Start by clicking on the Category form the list to go to the Categories profile page.
- Under the Defaults section, choose the Ledger you would like to assign from the Ledger field list.
- Click the Save button to complete the update.
- To Mass Update the Defaults of multiple Categories at one time:
- Begin by ticking the Box(s) to the left of every Category you wish to update.
- Then click the Mass Update button
- From the Mass Update Allocation Defaults page, select the Default Ledger Account you wish to assign to each product.
- To complete the update click the Apply Changes button.
